VoxPro AI provides an AI receptionist service for small businesses. This policy explains what we collect, how we use it, and your rights.

Who we are

VoxPro AI ("VoxPro," "we," "us") is operated from Dallas, Texas. You can reach us at info@getvoxpro.com.

What we collect

We collect three categories of information.

Account information

When you sign up we collect your business name, contact email, phone number, and billing details necessary to operate your account.

Call data

To provide the service, our AI agent answers calls placed to your business number. We process audio, transcripts, and metadata (caller number, time, duration, outcome) to handle the call, book appointments, and send follow-ups.

Usage data

Standard logs and analytics about how the service and dashboard are used, including IP address, device type, and browser.

How we use it

  • To answer calls, schedule appointments, and send confirmations on your behalf.
  • To provide the customer dashboard, reporting, and recordings.
  • To improve the service, including model and prompt quality. We do not use your call data to train third-party foundation models.
  • To handle billing, support, and security.

Sharing

We do not sell personal information. We share data only with vetted sub-processors that help us run the service — telephony providers, cloud infrastructure, AI inference providers, and email/SMS gateways — under contracts that require confidentiality and security. We may disclose information when required by law.

Retention

Call recordings and transcripts are retained for 90 days by default and can be deleted on request. Account records are retained while your account is active and for a reasonable period after closure for tax and legal purposes.

Your rights

You can access, export, correct, or delete your data at any time by emailing info@getvoxpro.com. Depending on where you live (e.g., California, EU), you may have additional rights under applicable law, including the right to object or lodge a complaint with a regulator.

Call recording notice

Calls answered by VoxPro are recorded and transcribed so the AI agent can respond accurately and so you have a record. You are responsible for any disclosures required by law in your jurisdiction. Our greeting can be configured to include a recording notice on every call.

Cookies

Our marketing site uses essential cookies and limited analytics. We do not use tracking cookies for advertising.

Children

VoxPro is built for businesses and is not directed to children under 13. We do not knowingly collect data from children.

Changes

We will update this policy when needed. Material changes will be communicated by email or in-app notice before they take effect.
